Booking Terms and Conditions
These Terms and Conditions apply to all clients booking a psychology session, regardless of funding type (including but not limited to self-funded/private clients, NDIS-funded clients, Medicare rebate clients, and other third-party funded clients). By confirming a booking, you agree to the terms set out below.
1. Booking Confirmation
A booking is confirmed once you have received written confirmation of your appointment date and time. This confirmation constitutes an agreement to the terms outlined in this document.
2. Cancellation and Rescheduling Notice
We require a minimum of 48 hours' notice of any cancellation or rescheduling request. Notice must be provided in writing (email, SMS, or via any client portal made available to you) or by phone during business hours.
3. Late Cancellation Fee
Where less than 48 hours' notice is given, or where a client fails to attend a scheduled session without any notice ("no-show"), a late cancellation fee equivalent to the full regular session fee will be charged.
This applies equally to all clients regardless of funding source, including:
Private/self-funded clients — the late cancellation fee will be invoiced directly and is payable prior to any future session being booked or attended.
NDIS-funded clients — in accordance with the NDIS Pricing Arrangements and Price Limits, short-notice cancellations (less than 2 clear business days' notice) may be charged to the participant's NDIS plan at the full session rate, provided this cancellation policy has been agreed to in your Service Agreement. Where a claim cannot be made against NDIS funding for any reason, the fee becomes payable by the participant or their plan manager/nominee directly.
Medicare rebate or other third-party funded clients — as cancellation fees are not claimable through Medicare or most other third-party schemes, the late cancellation fee is payable directly by the client.
4. Circumstances Considered on a Case-by-Case Basis
We understand that emergencies and unforeseen circumstances arise. Requests for a waiver of the late cancellation fee due to genuine emergencies (e.g. sudden illness, hospitalisation, bereavement) may be considered at our discretion and should be raised with us as soon as possible.
5. Late Arrival
Clients arriving late to a session will still be charged the full session fee, and the session will end at the originally scheduled time to avoid impacting subsequent clients.
6. Payment of Fees
Late cancellation fees are due prior to your next scheduled session. Continued non-payment of outstanding fees may result in suspension of future bookings until the account is settled.
7. Provider-Initiated Cancellations
If we need to cancel or reschedule your session (e.g. due to illness, an emergency, or unforeseen circumstances), we will provide as much notice as possible and no fee will apply. We will work with you to find the next available suitable appointment.
8. Acknowledgement
By booking a session with us, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions, including the cancellation policy outlined above.
